Ovacome Challenge Terms and Conditions

By participating in an Ovacome fundraising challenge, you agree to the following Terms & Conditions. These apply in addition to any terms set by the event organiser. You must comply with both.

  1. Eligibility
  • You must meet the minimum age requirement for your selected event. If under 18, you must have written consent from a parent or guardian.
  • You must meet any eligibility rules set by the event organiser.
  • Proof of eligibility may be requested.

 

  1. Registration & Entry Fees
  • Charity places are allocated on a first-come, first-served basis.
  • A non-refundable, non-transferable registration fee may be required to secure your place.
  • Registration fees do not count towards your fundraising target.
  • Charity places may not be sold, swapped, or transferred.
  • You must complete any registration process required by the event organiser by the stated deadline or your place may be withdrawn.

 

  1. Fundraising Commitment
  • By accepting a charity place, you agree to raise at least the fundraising target stated for your selected event.
  • Gift Aid cannot be counted towards your fundraising target.
  • All sponsorship money must be paid to Ovacome within the deadlines provided.
  • If Ovacome’s fundraising team does not receive evidence that you are working towards your fundraising target before the event’s withdrawal deadline, and you do not respond to communications from our team regarding your fundraising plans by the stated deadlines, Ovacome reserves the right to withdraw your place in the event.
  • If you do not meet your fundraising target, the charity may request you make up the shortfall or withdraw your place before the event.
  • You agree to only use legal fundraising methods and comply with Fundraising Regulator guidelines.

 

  1. Donations
  • All donations are non-refundable.
  • If you withdraw from the event, donations will be retained by the charity unless donors request a refund in writing.
  • You will make it clear to sponsors if a portion of their donation will cover event costs.

 

  1. Withdrawal due to injury or change in circumstances
  • If you are unable to participate in your chosen event due to injury or a change in circumstances, you must notify Ovacome as soon as possible. This will allow the charity to take steps to withdraw you before the event organiser’s withdrawal deadline and recover the costs of your place.
  • If you notify Ovacome after the withdrawal deadline has passed, you will be required to cover the event place fee charged to the charity (minus any registration fee you have already paid). These fees are non-refundable. Please note that late withdrawal or non-participation means the charity loses both the fundraising you would have generated and the cost of your place, which reduces the funds available to support those affected by ovarian cancer.

  1. Cancellation, Deferral, and Transfers
  • Registration fees are non-refundable under any circumstances.
  • Deferrals or transfers may be offered at the charity’s discretion.
  • Places cannot be transferred after the event organiser’s registration deadline.
  • If the event is cancelled or postponed by the organiser, the charity is not liable for costs such as travel or accommodation.
  • If postponed, your place may be transferred to the new date or a similar event, subject to charity and organiser approval.

 

  1. Health & Safety
  • You take part at your own risk and are responsible for your own health and fitness.
  • You must ensure you are medically fit to participate and seek medical advice if necessary.
  • You must comply with all event rules, instructions, and local laws.

 

  1. Conduct
  • You agree to represent Ovacome positively and avoid behaviour that could damage its reputation.
  • The charity reserves the right to withdraw your place for misconduct, failure to meet fundraising targets, or breach of these terms.

 

  1. Branding & Materials
  • You must obtain approval before using the charity’s logo or creating event materials.
  • When using Ovacome’s logo, you must include the words “in aid of” or “in support of” alongside it.
  • All materials must display the correct charity name and registered charity number.
  • Collection tins, buckets, and other materials remain the property of the charity and must be returned within 4 weeks of the event.

 

  1. Data Protection
  • Your personal data will be processed in accordance with the charity’s Privacy Policy.
  • Necessary details may be shared with the event organiser to confirm your registration.

 

  1. Photography & Media
  • The charity may take photos or video during the event and use them for promotional purposes.
  • You can opt out by contacting the charity before the event.
  • While opt-outs will be respected, complete removal from all materials already in circulation cannot be guaranteed.

 

  1. Liability
  • The charity is not responsible for injury, illness, loss, or damage caused by your participation, unless due to its negligence.
  • The event organiser’s liability terms also apply.
